POYNETTE AREA PUBLIC LIBRARY BOARD MEETING
Tuesday, August 12, 2025, at 5:00 PM
Poynette Area Public Library
 

Call to Order and Roll Call - The meeting was called to order at 5:05 PM by President Jason Koopmans. Board Members Brittney Jackson, Meghan Visger and Jason Koopmans attended the meeting. Library Director Jodi Bailey was also present. Joni DeYoung attended remotely. Mary Jo Borchardt, Jerry Pritzl, and Darcy Miller were unable to attend.

Adoption of Agenda - A motion to accept the agenda was made by Visger, seconded by Jackson; motion carried.
 

Approval of Minutes from July 8, 2025 - A motion to adopt the July meeting minutes as presented was made by Koopmans, seconded by Visger; motion carried.
 

Treasurer’s Report Presented by Brittney Jackson - The library checking account at Bank First has a balance of $4,118.12 as of July 31, 2025. The SCLS Foundation account has a balance of $2,312.20 as of July 31, 2025.
 

Current Budget Review - Director Bailey presented the budget for the Board’s mid-year review.
 

Director’s Report - The Summer Reading Program (SRP) registered 345 participants (surpassing the prior two years). Thank you to Katy Hanousek for all her pre-planning efforts, preparing engaging StoryTimes and performers, and executing another successful SRP. The Library staff enjoyed hosting two amazing teachers and encouraging students’ love of reading during Poynette School District’s Individual Reading Program. Several generous memorial donations were gratefully received during July. The staff attended several webinars, classes and monthly meetings for planning purposes, continuing education and safety training. Community involvement in July included utilizing the Bookmobile to deliver materials supporting the Pioneer Place outreach program, as well as in-home daycares, home-bound deliveries, and Village events.
 

Village of Poynette Meeting - DeYoung shared that the Village Board approved funds for Village-wide security cameras. They will be installed soon. Nate Duell will be appointed as the new Police Chief.
 

Friends of the Library Meeting Update - Director Bailey shared that the Friends are working diligently to spend PACE grant funds they gratefully received over the past two years. They voted to provide funds to support several areas of need requested by library staff. They also voted to allocate funds to hire an educational program presenter or performer during Spring Break 2026. They are hosting a local author on September 18 as part of their Annual Meeting.
 

Business:
1. Approval of Vouchers for Library - Koopmans made a motion to approve the vouchers as presented, seconded by Visger; motion carried.
2. Discuss Trustee Training: August 18-21, 2025 (https://www.wistrusteetraining.com) - These webinars are recorded and can be viewed at any time.
3. The 2026 Budget Committee (Trustees Koopmans, Visger, Jackson & Director Bailey) will conduct a brief meeting on Tuesday, August 12, after the Library Board meeting concludes. - The committee will review and discuss an updated draft provided by Bailey.
4. Discuss/Consider approval of the revised “Obsolete Furniture & Equipment Policy” - Jackson suggested creating a spreadsheet to document dates of furniture being purchased or donated. Director Bailey will revise the policy to include this furniture inventory spreadsheet and add that the Board will review it every March.
5. Discuss additional digital library advocacy ideas - Katy Hanousek has been working on using Mailchimp for the library’s News & Events newsletter. She will use this program in conjunction with Canva to create our monthly newsletter format going forward.
6. Discuss Agenda items for next meeting, September 9, 2025 - Business Agenda items 1, 3, 4, 4, budget review/approval, and any items that may arise.
