POYNETTE AREA PUBLIC LIBRARY BOARD MEETING

Tuesday, December 12, 2023, at 5:00 pm

Poynette Area Public Library

 

Call to Order and Roll Call - The meeting was called to order at 5:07 PM by President Jason Koopmans. Board Members Darcy Miller, Linda Ross, Brittney Jackson, and Meghan Visger attended the meeting. Library Director Jodi Bailey was also present. Joni DeYoung and Jerry Pritzl attended virtually.

Public Comments – None

 

Adoption of Agenda - A motion to adopt the agenda was made by Miller, seconded by Ross; Motion carried.

 

Approval of Minutes from November 14, 2023 - A motion to adopt the November meeting minutes as presented was made by Koopmans, seconded by Ross; Motion carried.

 

Treasurer’s Report Presented by Treasurer Linda Ross - The library checking account at Bank First has a balance of $5,125.64 as of November 30, 2023. The SCLS Foundation account has a balance of

$1,725.57 as of October 31, 2023.

 

Current Budget Review - Director Bailey presented the budget.

 

Director’s Report – The Friends of the Poynette Library’s Silent Auction set a record, raising over $4,000. Thank you to the community for their generous donations in support of this amazing fundraiser. The staff attended several webinars, classes, and monthly meetings for planning purposes, continuing education, and safety training. Community involvement in November included library tours with two PHS classes and utilizing the Bookmobile to deliver materials in support of the Pioneer Place outreach program, in-home daycare outreach program and individual home-bound deliveries.

 

Village of Poynette Meeting Update – The Village Board selected Alex Taft (PASO) to receive the 2023 Volunteer of the Year award. The Christmas in the Village parade had almost 40 floats and was very well attended.

 

Friends of the Library Silent Auction Update - The Friends of the Poynette Library’s Silent Auction ran from November 11th through December 2nd. There were 112 lovely baskets to choose from. The Friends do not have a meeting in December.

 

Business:

 

  1. Approval of Vouchers for Library – Koopmans made a motion to accept the vouchers as presented, seconded by Miller; Motion carried.
  2. Discuss Bookmobile Committee Update - The committee met on December 12th. Bryce used suggestions received from the community to create a draft wrap mock-up for the committee to review. He’ll make a few changes recommended by the committee and email a final mock-up next week. Jodi and Bryce will schedule an install date once the final mock-up is approved. The materials can be ordered and invoiced in December. The Board will approve the Voucher in January but the wrap materials will be paid for with grant funds received from the Alliant Energy Foundation [2023 Bookmobile expenditures].
  3. Strategic Plan Year-End Review - Director Bailey noted items on the 2022-2027 Strategic Plan that are in progress, items that have been accomplished, and areas that need improvement. Better promotion of the SCLS endowment fund in 2024 was discussed.
  4. Discuss Agenda Items for the Next Meeting on January 9, 2024 - Business Agenda items 1, 2 (discuss and consider), 4, and any items that may arise.

 

Convene into Closed Session - Koopmans made a motion at 5:57 pm for the Board to convene into Closed Session; seconded by Visger; Motion carried; Roll Call vote was conducted.

Ross made a motion to re-convene into Open Session at 6:25; seconded by Koopmans; Motion carried.

Adjournment - The meeting was adjourned at 6:25 PM.
